Responsibilities:
- Provide advanced administrative support to VP level or equivalent; may provide backup to other staff.
- Answer phones; manage calendars; schedule travel and couriers; manage correspondence.
- Process expense reports; plan meetings/events; compile meeting materials.
- Create/revise business documents and prepare presentations from source materials.
- Handle teleconference/WebEx and Blackberry/iPhone setups.
- Monitor and prioritize executivesβ emails, highlight actions, and routinely draft responses.
- Coordinate and maintain departmental files in compliance with corporate and legal guidelines.
- Follow company purchasing and established procedures.
- Use intermediate to advanced software skills (Microsoft Office Suite, Outlook, Adobe Acrobat, Corporate Travel website and other business programs).
- Coordinate new employee office setups and onboarding.
- Interact professionally with high-level executives; maintain confidential/business-sensitive information.
- Proactively identify and resolve scheduling conflicts.
Qualifications:
- Minimum 3 years of administrative assistant related experience; High School diploma or equivalent.
- Experience supporting a VP level or equivalent.
- Intermediate to advanced knowledge of Microsoft Office Suite/Outlook and Adobe Acrobat; understanding of business processes/requirements.
- Self-starter; learns quickly; open to suggestions and innovation.
- Team-oriented with a professional demeanor and ability to maintain confidentiality.
