Key Responsibilities:
- Coordinate complex, fast-changing executive calendars; schedule meetings with internal/external partners.
- Prepare confidential/sensitive documents (presentations, memos, correspondence, expense reports).
- Update files, documents, and navigation maps in Teams groups.
- Build and distribute pre-reads and training materials with internal teams.
- Manage domestic and international travel arrangements and expense reports.
- Use current technology platforms (Excel, Outlook, PowerPoint, Word, Concur, SharePoint, Teams, Workday, Our Source, e-Marketplace) and generative AI productivity tools (e.g., MS Copilot).
- Operate effectively without day-to-day direction; anticipate executive needs.
- Serve as single point of contact for Global Data Science and Global Precision Medicine Strategy & Execution teams; maintain strict confidentiality and independent judgment.
- Support large departmental/global meetings (logistics, room space, catering, AV, agenda).
- Optionally scan email for executives and flag items for review/action; provide backup to other executive administrative support as needed.
- Handle external partner relationships and support contracting efforts as needed.
Qualifications:
- 6+ years administrative experience supporting senior management; high school diploma (required).
- College degree preferred.
- Strong organization/attention to detail; excellent communication.
- Ability to prioritize, maintain confidentiality, and work with patience/integrity in a high-profile, rapidly changing environment.
- Strong leadership, interpersonal, teamwork, analytical/problem-solving skills.
- Sound judgment and discretion; ability to assess complex situations and shift priorities.
- Experience supporting a large organization highly desired.
