  • Serve as an operational extension of the team, helping to manage communications, ensure alignment around key activities, and support execution across the span of delegation.
  • Support internal communications and team collaboration by capturing input and turning team-building or planning discussions into tangible outputs and action steps.
  • Assist in coordinating and planning cross functional team meetings, workshops, and eventsโ€”including offsite logistics, venue selection, agendas, and follow-ups.
  • Maintain department files, records, and shared resources with accuracy and confidentiality.
  • Monitor and reinforce adherence to internal processes, policies, and key deadlines.
  • Collaborate with other administrative staff to ensure continuity, support cross-functional efforts, and drive cohesion across departments.
  • Prepare, edit, and distribute presentations, spreadsheets, memos, and meeting notes as needed.
  • Provide support for small-scale projects as assigned, including status tracking and stakeholder coordination.

Qualifications

  • 6โ€“8 years of administrative support experience in a corporate environment, preferably in a life sciences setting.
  • Demonstrated experience managing executive calendars, travel arrangements, and expense reports.
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint); experience with Concur strongly preferred.
  • Excellent written and verbal communication skills; able to interact professionally with internal and external stakeholders.
  • Strong organizational and project coordination skills, with a proven ability to manage multiple tasks simultaneously.
  • Continuous learning mindset
  • Discretion, sound judgment, and the ability to maintain confidentiality are essential.
  • Collaborative, team-oriented with a proactive, adaptive and solutions oriented approach.

Education
