Senior Administrative Assistant (New Brunswick, NJ) β hybrid: Titusville, NJ office 3 days/week and work from home 2 days/week.
Key Responsibilities:
- Provide administrative support to HR Acquisitions & Development and Global Benefits & Retirement teams.
- Meetings management: calendar management; meeting conflict resolution and urgent requests; coordinate onsite/offsite meetings (venues, catering, agendas, logistics); ensure required meeting documents are submitted timely (presentations, pre-reads).
- Team management: handle confidential matters with discretion; onboarding/offboarding for employees and contractors (new hires, terminations, leaves of absence, promotions, transfers, return to work); maintain distribution lists; plan/execute team-building events; collaborate with other admins; print/copy/scan/file/destroy documents or mail; maintain office environment with Facilities and IT support.
- Travel & expenses: arrange domestic/international travel (including passport/VISA documentation); process expense reports/receipts; oversee interview logistics and travel coordination; manage Corporate Meeting Card (CMC) activity and supporting documentation; resolve issues related to AmEx, phone services, IT, and vendor inquiries.
- Reporting: coordinate, prepare, and edit reports and presentations; key point of contact for procurement.
- Communication management: disseminate team communications (announcements and new-hire updates).
Qualifications:
- Education: High school diploma required; Bachelorβs degree or formal administrative training preferred.
- Required: Minimum 5 years of administrative experience; proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Teams), collaboration tools, and expense systems; strong digital platform experience and virtual meeting technologies; outstanding organizational/prioritization skills; strong interpersonal and communication skills with executives/stakeholders; ability to exercise discretion, maintain confidentiality, and resolve complex issues independently; agility/adaptability in a hybrid work environment.
