Role Summary

Senior Administrative Assistant, Respiratory โ€šร„รฎ provide project management and administrative support to the US Franchise Head, Respiratory and select support for the US Leadership Team. Requires high-level administrative skill and technical competence to support a complex organization.

Responsibilities

  • Lead franchise projects and communications
  • Manage multiple priorities in a fast-paced and demanding environment
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on tasks for the US Franchise Head, Respiratory
  • Proactive calendar management for the US Franchise Head, Respiratory to ensure work-life integration
  • Proactively manage meeting logistics and arrange domestic and international travel
  • Ensure efficient and compliant processing of expenses
  • Prioritize and execute tasks with minimal direction or supervision
  • Maintain a high level of confidentiality and professionalism
  • Interface with staff, senior-level executives, external partners and consultants; keep US senior leadership updated on key information
  • Model Take the Lead behaviors and contribute to a positive and inclusive culture
  • Meet regularly with key LT members and administrative team to align on priorities and roles
  • Prepare documentation for payment of vendors, consultants, and suppliers; manage SOWs and Purchase Orders; respond to accounts payable inquiries
  • Coordinate multiple projects, manage timelines, support cross-functional teams, and align local and global initiatives
  • Learn and understand the bigger picture of the franchise and related organizations

Qualifications

About You

  • HS Diploma/GED required; bachelorโ€šร„รดs degree strongly preferred
  • 5+ years executive administrative experience
  • Proficient with Microsoft Office Suite; strong scheduling and Zoom capabilities
  • Experience with SharePoint content administration
  • Experience supporting senior-level business leaders
  • Familiarity with pharma industry and business organization
  • Excellent verbal and written communication skills
  • High ethical standards and confidentiality
  • Ability to prioritize effectively and collaborate with cross-functional teams
  • Ability to navigate organization with minimal direction
  • Strong initiative, tact, diplomacy, and interpersonal skills
