Responsibilities:
- Coordinate and schedule aviation corporate jet and helicopter assets and associated ground transportation, including internal/external resources (corporate and charter aircraft, livery services).
- Schedule aircraft and ground transportation, perform flight following, and maintain aviation scheduling/data records.
- Follow Department Operations Manual guidance when scheduling company aircraft for executives, Board members, and other authorized employees; assign aircraft/flight crews and coordinate ground transport at departure/arrival sites.
- Review and approve aviation and ground transportation invoices; maintain passenger travel records (business, personal, commuting trips).
- Provide 24/7 on-call assistance during non-scheduled hours for delays, changes, or cancellations due to weather or maintenance; implement alternate travel arrangements via rotating on-call.
Qualifications:
- Associateβs degree.
- FAA Flight Dispatcher or Pilot License (preferred).
- 2+ years administrative experience handling sensitive data with reporting.
- Strong communication, organization, problem-solving; deep knowledge of aviation regulations/compliance and corporate flight operations best practices.
- Independence/creativity; proficiency in data analysis, report prep, and digital tools/automation.
- Expertise in electronic workflow management, operations software, and SaaS platforms.
- Understanding of flight planning (aircraft performance, fuel economy, vendor support selection) with safety focus.
- Corporate aircraft scheduling experience and aircraft scheduling software (preferred).
