Key Responsibilities
- Sales Documentation Support (Back-Office):
- Prepare tender documentation, including completion of forms per sales guidelines; draft commercial contracts (including post-tender agreements) based on sales instructions.
- Prepare commercial quotes following sales guidelines.
- Manage CRM system: register cases, track timely resolution, and send corrections and proformas as scheduled.
- Handle complaints related to product quality and delivery accuracy.
- Archive: accurately organize and file electronic documents in designated databases.
- Customer Service and Communication:
- Manage incoming customer inquiries professionally via phone and in person.
- Help clients complete a New Account Form.
- Provide timely updates on offers, order status, and delivery schedules.
- Office Administration and Logistics:
- Operate office equipment (scanners, printers, photocopiers).
- Coordinate with logistics and the warehouse to ensure smooth delivery fulfillment.
- Support marketing by distributing promotional materials to customers and account managers.
- Support events/conferences: prepare/ship materials, handle registration/payment admin, and input leads.
- Manage the company’s LinkedIn account to enhance brand presence and engagement.

Key Competencies / Qualifications
- Advanced proficiency in English.
- Knowledge of German is an advantage.
- Strong organizational skills and attention to deadlines.
- Proficient in MS Office, especially Excel.
- Experience working with CRM systems.
- Professional, strong communication skills.
- High accuracy and attention to detail.
