Role Summary

Reporting to the Associate Director, Facilities, the Receptionist/Administrative Assistant will meet, greet, and converse with employees, visitors, and vendors/suppliers with a positive attitude. This candidate will also provide administrative assistance to several departments within Kiniksa. This role is based in our Lexington, Massachusetts office with working hours 7:30am – 4:30pm Monday-Friday.

Responsibilities

  • Greet visitors and maintain a visitor logbook
  • Direct calls from world-wide customers, subsidiaries, and representatives
  • Issue and track visitor badges to adhere to strict EHS/Security Visitor policy regulation
  • Direct visitors to their destinations
  • Keep the lobby area neat and clean at all times
  • Provide training to administrative staff on the phone system and offer on-demand support as needed
  • Escalate issues related to the facility in a timely manner
  • Maintain record of monthly receipts and invoices for the Associate Director, Facilities
  • Communicate with key department personnel to order office supplies. Additionally, maintain accurate inventory of supplies needed
  • Order companywide snacks and beverages. Assist with inventory check, as needed
  • Assist in onboarding processes for incoming new hires
  • Manage Career Calendar to provide seamless candidate experience
  • Perform ad-hoc clerical/administrative projects as deemed necessary by manager

Qualifications

  • Requires previous reception and/or office experience in a professional environment
  • Ability to meet, greet and converse with employees, customers, visitors, and vendors/suppliers with a positive attitude
  • Strong written and verbal communication, and organizational skills
  • Ability to maintain a calm, courteous and professional demeanor at all times
  • Ability to multi-task
  • Ability to communicate effectively
  • Strong commitment to compliance and ethical standards
  • Proficient with Microsoft Office suite (i.e., Word, PowerPoint, Excel, Outlook, SharePoint, etc.)
