Role Summary
The Project Management Specialist II provides critical support to the R&D Portfolio Management team across pharmaceutical and medical device programs. This role focuses on managing timelines, project documentation, and operational activities to ensure smooth execution of portfolio and operational projects. The position is ideal for a detail-oriented, tech-savvy individual who thrives in a collaborative environment and enjoys working on diverse projects. Location: Bothell, WA.
Responsibilities
- Work closely with leadership and program managers to set clear project schedules/planning, budgets and deliverables. Works directly with cross-functional partners to refine planning.
- Monitor and update project timelines for key deliverables (e.g., Assets, PMRs, portfolio milestones, NPI, MOB, EOL).
- Identifies risks and provides resolutions to the team and leadership
- Manages third-party contracts and purchase orders (POs). Resolves delivery and or service issues.
- Contributes on projects within R&D to improve processes and business operations
- Designs and builds dashboards and portfolio management tools; may service as technical support for systems and tools used by the team
- Support R&D Operations with budget and headcount tracking, executive presentations, communications and event planning.
- Work closely with both pharmaceutical and medical device teams to ensure alignment and consistency in project tracking and reporting. Manages reports using advanced Excel (including pivot tables) or Smartsheets.
Qualifications
- Bachelorβs degree in Life Sciences, Engineering, Business, or related field.
- 2+ years of experience in project coordination or similar role (pharma/medical device/aerospace experience preferred).
- Experience with project management tools (e.g. MS project, Smartsheets, Office timeline pro) and dashboards is a plus.
- Experience with AI solutions including Chat GPT, Copilot and Power BI
- Strong proficiency in Microsoft Excel (pivot tables, data analysis) and PowerPoint design.
- Excellent organizational skills and attention to detail.
- Ability to work collaboratively and manage multiple priorities in a fast-paced environment.
