Key Responsibilities
Project & Delivery Coordination
- Supports project teams by maintaining and coordinating standard project artifacts (project plans, RAID logs, status reports, meeting documentation).
- Tracks action items, risks, issues, and dependencies; escalates to Project Manager or Program Lead.
- Coordinates schedules, meetings, and deliverables to stay aligned with agreed timelines.
- Provides execution and administrative support to project leads (does not own overall project scope, budget, or delivery accountability).
Systems & Business Support
- Gathers, documents, and clarifies requirements with business users and technical teams (under guidance of project/systems leads).
- Supports testing, validation/UAT coordination, and release activities by organizing materials, schedules, and documentation.
- Authors and maintains system, process, and user documentation.
- Supports audits/inspections by ensuring documentation readiness (not validation owner/system owner).
AI‑Enabled Project Coordination
- Uses AI-enabled tools to draft meeting summaries, status updates, and project documentation; organize and synthesize project information; improve efficiency/consistency.
- Applies AI tools aligned with compliance, quality, and governance expectations.
- Identifies opportunities to streamline coordination via automation/AI and recommends improvements.
Collaboration & Communication
- Acts as a central coordination point across business stakeholders, IT partners, and vendors.
- Prepares/distributes project communications per direction from leadership.
- Communicates clearly; escalates risks/issues/misalignment appropriately.
Basic Qualifications
- Bachelor’s degree and 4 years’ experience OR Master’s degree and 2 years’ experience.
Preferred Qualifications
- Experience supporting R&D, clinical, or regulated (GxP) systems.
- Validation, audit support, or inspection-readiness experience.
- Experience supporting systems/applications/technical projects in a regulated/complex business environment.
- Understanding systems lifecycle activities (requirements, testing, validation/UAT, documentation).
- Strong technical documentation and communication skills.
- Working knowledge of project coordination fundamentals.
- Demonstrated ability to use AI-enabled tools; comfort with modern digital collaboration/automation tools.
- Curiosity to experiment with AI-driven ways of working while maintaining compliance/quality.
- Exposure to Agile, hybrid, or matrixed project environments.
- Prior experience coordinating vendors/external partners.
