Role Summary

Project Administrative Specialist supporting PMO oversight and management of the project portfolio for the Charles City, IA site, including capital improvement and operational projects. Provides administrative support to project teams, procurement, tracking, and reporting to align with organizational strategies and goals.

Responsibilities

  • Deliver PMO oversight, guidance, and management of the site project portfolio.
  • Assist project teams with procurement, project tracking, CIP reports, and project closure reports.
  • Coordinate with site and network colleagues to implement projects effectively and efficiently.
  • Work with the finance team to close out projects and capitalize project funds.
  • Provide administrative support to day-to-day project activities.
  • Administer PMO structure and governance to achieve site and organizational goals.
  • Ensure compliance with quality standards, codes, and applicable regulations.
  • Adhere to SOPs and standard work documents relevant to the department.

Qualifications

  • Required: Bachelor's degree in Business, Finance, Engineering, Science, or related field.
  • Required: Three or more years of project administration experience; pharmaceutical/biological industry experience preferred.
  • Preferred: Five years of Project Management Office experience.

Skills

  • Plan and organize work and resources effectively.
  • Proficient use of software and tools to communicate across organization (e.g., SAP).
  • Ability to manage multiple resources to complete work on schedule.
  • Strong interpersonal skills to interact with colleagues at various levels and with external partners.
  • Understanding of cGMPs, USDA regulations, and quality standards.

Education

  • Bachelor's degree required; preferred fields include Business, Finance, Engineering, Science, or related discipline.

  • Physical requirements: ability to walk, sit, or stand for long periods; frequent reaching, bending, stooping, twisting; lifting 5–25 lbs; repetitive motion of wrists/hands/fingers.
