Description:
The Order Operations Coordinator plays a crucial role in coordinating product returns relating to damaged shipments, shortages, mis-shipments, and overages, and assist QA with product recall processes to ensure compliance with company policies. This individual acts as a liaison between customers, internal teams, regulatory, and quality, ensuring a smooth and efficient resolution of issues, minimizing risk, and protecting brand reputation.
Essential Functions:
- Handle product returns โ Manage/Investigate the flow of returns relating to damages, overages, mis-shipments, and shortages from customers, utilize Rf Excel VRS to verify serialization (DSCSA Compliance), issue RGA (Return Goods Authorization), call tags, and replacements as needed, communicate with internal teams regarding these returns, and process credits to customers.
- Collaborate with Internal Departments โ Assist the QA team with recall processes issuing credits to customers for products affected by recalls, ensuring regulatory and company compliance. Provide support to the Drug Safety department by issuing credits for customer complaints. Work closely with AR department providing proof of delivery and pack slips as requested and assist in researching customer deductions related to shortages and issue credit as needed to keep open deductions to a minimum.
- Communicate effectively with stakeholders โ Serve as a primary point of contact for customers, warehouse, regulatory, quality, etc regarding returns and recall status, inquiries, and resolutions.
- Maintain accurate documentation and Support Continuous Improvement Initiatives โ Maintain detailed records of all returns and recall activities, ensuring traceability and transparency across departments. Proactively follow up on outstanding returns, identify process inefficiencies, and recommend enhancements for future workflows.
Additional Responsibilities:
- Works internally and externally to ensure orders are processed & submitted to warehouse with a high degree of accuracy when needed.
Qualifications
Education:
- High School or GED - Required
Experience:
- 2 years or more in Customer Service
Skills:
- Customer service skills - Advanced

- Exceptional verbal and written communication skills - Advanced
- Multi-tasking - Intermediate
Specialized Knowledge:
- JD Edwards knowledge preferred
