Role Summary
The Trade Operations Manager supports Gilead’s Market Access Operations (MAO) by ensuring compliant, efficient, and data-driven execution of daily trade operations activities. This role manages order evaluation, inventory monitoring, customer interactions, returns processing, and cross-functional collaboration while upholding SOX controls and contract requirements. The ideal candidate brings strong analytical capabilities, operational rigor, strategic thinking, and the ability to communicate effectively in dynamic situations.
Responsibilities
- Ensure strict compliance with contract terms and SOX controls for all day-to-day Trade Operations activities.
- Evaluate daily direct-customer orders against inventory data feeds and confirm that contractual inventory limits are met.
- Monitor internal inventory and metric reports to identify potential stock shortages and proactively engage with customer buyers regarding their stocking plans.
- Partner with the sales team to understand indirect customer stocking issues and communicate relevant updates to buyers and account management.
- Review direct and indirect customer product returns and determine the appropriate credit values based on Gilead’s return policies.
- Collaborate with third-party logistics providers and data-warehouse vendors to support accurate and timely data flows.
- Support internal teams—including Supply Chain, Legal, Finance, Quality, IT, and Audit—to advance business goals and maintain operational excellence.
- Maintain high standards of customer service for both direct and indirect customers in alignment with Gilead policies.
- Perform ad-hoc reporting, analytics, and documentation tasks based on evolving business needs.
- Serve as a resource across the Trade organization (Operations, Strategy, Contracting, Relations) for analytics, contracting strategy, and recommendations.
- Analyze data from multiple sources and clearly communicate insights to cross-functional partners.
- Evaluate existing processes and recommend improvements to enhance transactional efficiency, accuracy, and adaptability within a dynamic business environment.
Qualifications
- Required: Bachelor's Degree and Six Years' Experience; OR Master's Degree and Four Years' Experience; OR PhD / PharmD
- Preferred: 3+ years of experience in the pharmaceutical or biotech industry, preferably in a trade operations or similar role.
- Preferred: Working knowledge of ERP systems (SAP), trade data platforms (IntegriChain or ValueCentric), EDI datasets (852/867), and visualization tools (Tableau).
- Preferred: Understanding of contracts, regulations, industry standards, and standard operating procedures.
- Preferred: Familiarity with pharmaceutical trade operations, distribution models, and compliance requirements.
- Preferred: Bachelor’s degree in Business Administration, Supply Chain, Economics, Finance, Engineering, or related field.
- Preferred: Proficiency with MS Office applications, with advanced Excel skills (e.g., VLOOKUP, PivotTables).
- Preferred: Ability to multitask, self-start, and prioritize ad-hoc requests in a fast-paced, deadline-driven environment.
- Preferred: Strong analytical skills and experience working with large or complex datasets.
- Preferred: Excellent written and verbal communication skills with demonstrated ability to simplify complex topics for diverse audiences.
- Preferred: Ability to make decisions, influence peers, and solve problems collaboratively.
Education
- Bachelor’s degree in Business Administration, Supply Chain, Economics, Finance, Engineering, or related field.
