Role Summary

Administrative Legal Coordinator to support attorneys and paralegals in the Corporate Litigation Group. The successful candidate will be highly organized, detail-oriented, flexible and able to multi-task.

Responsibilities

  • Managing multiple and/or complex calendars; prioritizing schedules and maintaining confidentiality of information
  • Coordinating meetings across multiple time zones
  • Arranging travel and catering; processing expense reports
  • Setting up engagement letters and tracking invoices; maintaining case files and calendars
  • Registration of visitors, activation of badges for site visits, ordering supplies
  • Updating attorneys on changes in company policies and upcoming deadlines
  • Providing back-up administrative support to the Vice-President of the Corporate Litigation Group

Qualifications

  • Required: Associate’s degree and 2 years of administrative experience OR 2 years in a technical school setting with hands-on experience OR High school diploma / GED and 4 years of administrative experience
  • Preferred: 6+ years of related experience in legal and administrative functions supporting attorneys
  • Preferred: Prior law firm or in-house law department experience
  • Preferred: Proficiency in Outlook, Word, Excel, and PowerPoint, including spreadsheet and presentation skills
  • Preferred: Demonstrated diplomacy and discretion
  • Preferred: High degree of accuracy, attention to detail, and proactive approach
  • Preferred: Experience interfacing with executives
  • Preferred: Experience communicating verbally and in writing with a broad spectrum of internal and external contacts
  • Preferred: Professional written and verbal communication experience
  • Preferred: Successful time management and project management experience
  • Preferred: Excellent judgment
  • Preferred: Associate’s degree

Skills

  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint; strong spreadsheet and presentation skills
  • Diplomacy and discretion in handling confidential information

Education

  • Associate’s degree (preferred)
  • High school diploma / GED (minimum requirement for basic qualification path)
