Position Summary
The Intake Coordinator I β Oncology acts as the first touch point for oncology clientsβ requests for molecular testing. Creates electronic orders in the Caris laboratory information system and initiates specimen acquisition to ensure timely procurement for the Caris laboratory. Analyzes supplemental documentation for existing patient cases awaiting missing information for case activation; applies independent judgment due to impact on clients and patients.
Job Responsibilities
- Meet department deliverables and regulatory requirements.
- Maintain accurate, complete documentation in client and patient records.
- Review incoming documents and determine required actions.
- Use multiple computer systems (e.g., Office 365, Salesforce, lab information system) to organize documentation.
- Process cases from documentation through setup in the lab information system.
- Gather, analyze, and enter data from oncology- and pathology-related organizations.
- Coordinate specimen procurement and shipment with pathology departments.
- Solve specimen/case discrepancy issues and resolve missing-information discrepancies.
- Analyze testing information from Caris requisitions; review pathology material diagnostics for adequacy.
- Investigate and interpret patient case status by reviewing lab/department notes.
- Communicate professionally with operational groups (pathologists, clinicians, clients) to meet customer needs.
- Provide client support (medical/technical/sales/support) and resolve issues via email/fax.
- Support supply/report/specimen shipment requests and facilitate client communications on case concerns.
Required Qualifications
- High school diploma or equivalent.
- 1β3 years of customer support experience using deductive reasoning.
- Pre-employment: criminal background check, drug screening, reference verification.
Preferred Qualifications
- HIPAA understanding; patient data privacy.
- Medical/healthcare terminology.
- Experience with PC hardware, Windows, Word/Outlook, CRM applications, and Internet for business.
- Associate/bachelorβs degree.
- Healthcare setting experience (physician office/hospital).
