Position Summary:
The Intake Coordinator I – Oncology is the first touch point for oncology clients’ requests for molecular testing. Creates electronic orders in the Caris laboratory information system and initiates specimen acquisition. Analyzes supplemental documentation for existing patient cases pending missing information for case activation. Uses independent judgment with significant impact on clients and patients.

Job Responsibilities:
- Meet departmental deliverables, goals, and applicable regulatory requirements.
- Maintain accurate client/patient documentation.
- Review incoming documents and determine required action.
- Use multiple systems (e.g., Office 365, Salesforce, laboratory information system) to organize and process documentation.
- Process cases from documentation through laboratory information system setup.
- Gather, analyze, and enter data from oncology- and pathology-related organizations.
- Coordinate with pathology departments nationwide for specimen procurement/shipment.
- Solve specimen and case discrepancy issues; resolve missing-information discrepancies.
- Analyze testing information from Caris requisitions and review diagnostics for testing adequacy.
- Investigate and interpret patient case status; communicate professionally with pathologists, clinicians, clients, and other teams.
- Provide client support (medical/technical/sales/support) via email/fax; respond to case concerns.
- Support shipment requests for supplies/materials/specimens/reports.

Required Qualifications:
- High school diploma or equivalent.
- 1–3 years in a customer support role requiring deductive reasoning.
- Pass pre-employment checks (criminal background, drug screening, reference verification).

Preferred Qualifications:
- HIPAA/privacy knowledge; medical/healthcare terminology.
- PC/Windows and productivity software (Word, Outlook), CRM, internet for business.
- Associate/bachelor’s degree; healthcare setting experience (physician office/hospital).

Physical Demands:
- Extensive computer work; sit/stand for long periods; repetitive motion; lift up to 30 lbs.

Other:
- Periodic travel; some evenings/weekends/holidays; hybrid schedule (eligible employees).

Training:
- Job-specific safety and compliance training assigned based on job functions.
