The Global Workplace Coordinator supports facility management and manages front of house/site hospitality and day-to-day operations of the Jazz Pharmaceuticals office facility, ensuring the office environment supports collaboration, productivity, and safety. This position is site-based only and may require support for other locations within your region.
Essential Functions
- Perform visitor management and office bookings (desk & room bookings)
- Proactively prepare meeting/collaboration rooms (e.g., layout)
- Monitor relevant mailboxes; forward and respond to emails as required
- Manage incoming calls
- Manage incoming/outgoing post & courier activity (receive, sort, scan, distribute)
- Manage office stock and supplies (meeting rooms, office equipment, sundries, snacks)
- Maintain and update digital signage displays
- Manage security access system (issue/disable cardkeys; run reports) and maintain strict confidentiality regarding new hire/termination notifications
- Execute trained policies/procedures for inspections, government/regulatory unexpected events
- Collaborate with global peers to streamline ways of working
- Support on-site events (may include light janitorial duties)
- Assist with EH&S and operational coordination tasks as required (risk assessments, liaison with building/security/landlord, purchase orders/finance process, incident documentation, vendor work orders, EH&S projects)
Required Knowledge/Skills/Abilities
- Strong administration background; knowledge of FM processes/practices
- Ability to prioritize and manage own workload; strong organizational skills
- Client/customer service focused; ability to problem solve
- Build positive relationships with stakeholders
- Proactive, flexible, hands-on (may require working outside standard hours)
- Proficient with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint), Concur, Source to Pay, MS Teams, Zoom
Required/Preferred Education and Licenses
- Obtain/maintain First Aid, Defibrillator and Fire Marshal certification (provided by Jazz if needed)
Benefits/Compensation (US candidates only, if listed)
- Base pay range: $48,000.00–$72,000.00
- Possible annual cash bonus/incentive and discretionary equity
