Position Summary

The Global Payroll Specialist will support the Global Manager with focus on US payroll processing and US tax balancing and reconciling. They will work closely with the comprehensive payroll provider, ADP, ensuring compliance and accuracy during payroll preparation, processing, and tax reporting.

Essential Functions

The responsibilities of this role include, but are not limited to, the following:

  • Responsible for US payroll tax activities, including compliance with local, state and federal regulations and overseeing the process of filing federal, state and local returns by ADP.
  • Provide vendor oversight ensuring payroll processing, accounting, analysis and reporting are in accordance with all federal, state and local tax laws.
  • Effectively oversee and manage ADP to ensure accurate and timely processing of all US semi-monthly, quarterly and yearend tax payments.
  • Effectively oversee and manage ADP to ensure timely and compliant reporting of all yearend activities including but not limited to W2 balancing and reporting.
  • Liaise with our Accounting team to ensure the timely transfer of funds and accurate tracking of cost allocations as they pertain to payroll tax payments.
  • Remain current on new legislation and regulatory ruling impacting payroll. Enforce adherence to requirements and advise management on required actions.
  • Oversee and reconcile tax related ADP billings on a monthly basis and provide accounting support for any and all tax adjustments to be recorded properly in the general ledger.
  • Assist in the financial planning and forecasting process to develop and implement a sound budget/forecast for the Global Payroll function.
  • Assist in the development and implementation of internal controls to ensure integrity of the Payroll Administration processes.
  • Work with customers and internal teams to resolve issues and streamline processes.
  • Partner with various internal departments including accounting, operations, human resources and legal, and manage external payroll service vendor relationships (ADP US, ADP ROW).
  • Coordinate with Human Resources staff relating to changes in pay rates, withholdings, benefits and special pays, i.e. incentive.
  • Develop effective means of communication with associates at all levels across the business to build a relationship of trust and respect, partnering to resolve financial and related operational issues.
  • Respond to employee inquiries and special requests as they relate to payroll taxes.
  • Assist with payroll implementation on acquisitions.
  • Act as the primary point of contact and backup for the Global Payroll Manager.

Minimum Qualifications

  • Bachelor’s Degree or higher in Accounting, HR, or any other closely related field preferred.
  • 2-4+ years of comprehensive payroll experience, including practical work experience in a medium size corporation (600+ employees).
  • Experience with ADP platforms preferred.
  • Internal Controls Systems and HRIS Systems knowledge.
  • Certified Payroll Professional (CPP) or equivalent certification preferred.
  • Demonstrated experience building cross-functional partnerships across the organization as well as with external vendors.
  • Demonstrated strong vendor management experience.
  • Practical knowledge of laws, principles, best practices, and trends in payroll management.
  • Solid organizational and analytical skills.
