Global Event Management Coordinator (Hybrid) β€” New Brunswick, NJ

Responsibilities
- Collaborate on projects/workstreams from initiation through close-out; align scope, schedule, and budget.
- Use project management tools/methodologies to track timelines and deliverables.
- Provide operational/coordination support to a team (6 employees, 3 FT contractors).
- Serve as primary stakeholder point of contact; coordinate deliverables and maintain alignment.
- Contribute to reporting/status updates on milestones, financial status, and progress.
- Oversee complex financial operations supporting up to $26M annual spend (Ariba payments, purchase orders, CMC reconciliation, Concur expense reports).
- Manage MSA/contract lifecycle via eMarketplace; coordinate vendor sourcing and bid requests.
- Partner with external vendors to support presentations/onboarding/execution.
- Manage executive travel calendars and VIP arrangements; coordinate domestic/international travel (air/ground, visas, passport renewals).
- Manage event-related communications and coordinate logistics/materials/shipments; assist onsite.

Qualifications
- High school diploma required; bachelor’s degree preferred.
- 6+ years supporting senior leadership (complex operations, financial management, project coordination, travel logistics).
- Experience with global programs/events preferred; vendor coordination/management preferred.

Required Skills
- Advanced financial/budget management, attention to detail.
- Ability to manage multiple concurrent projects independently; strong prioritization.
- Problem-solving/decision-making in fast-paced environments; trusted stakeholder relationships.
- Executive presence and customer service orientation.
- Continuous improvement mindset; advanced Microsoft Office.
- Experience with Ariba, Concur, eMarketplace, Aravo, Totality, and Apex.
