Global Event Management Coordinator (Hybrid) β€” New Brunswick, NJ

Responsibilities:
- Collaborate on assigned projects/program workstreams from initiation through close-out; align scope, schedule, and budget.
- Use project management tools to track timelines/deliverables; provide coordination support for a team and contractors.
- Serve as primary stakeholder contact; manage reporting/status updates.
- Oversee complex financial operations (up to $26M annual spend): vendor payments (Ariba), PO lifecycle, CMC reconciliation, AMEX card/expense reconciliation (Concur).
- Manage documentation/processes for audit readiness and continuous improvement.
- Handle MSA/contract lifecycle via eMarketplace; coordinate vendor sourcing and bid requests; partner with external vendors.
- Manage executive travel/logistics (domestic/international), including visas/passports; support VIP arrangements.
- Coordinate event communications, shipments/materials, onsite issue resolution.

Qualifications:
- High school diploma required; bachelor’s degree preferred.
- 6+ years supporting senior leadership with complex operations, financial management, project coordination, and travel logistics.
- Preferred: experience with global programs/events and vendor coordination.

Required/Preferred Skills:
- Advanced financial/budget management; strong attention to detail.
- Ability to manage multiple concurrent projects independently; prioritization and deliverable tracking.
- Strong problem-solving; trusted stakeholder relationships; executive presence/customer service.
- Advanced Microsoft Office; experience with Ariba, Concur, eMarketplace, Aravo, Totality, Apex.
