Role Summary

We are searching for the best talent for Flight Dispatcher to join our Aviation Team located in West Trenton, NJ. This hybrid role supports executive travel operations using high-end aircraft, with opportunities for growth within a Fortune 50 flight department.

Responsibilities

  • Coordinate and schedule domestic and international travel for Johnson & Johnson employees and guests using company and charter aircraft, ensuring compliance with FAA, ICAO, and company regulations.
  • Maintain accurate flight records, schedules, electronic logs, and sensitive passenger and crew documentation.
  • Serve as a primary point of contact for executive leadership, flight crews, service providers, and airport authorities to ensure seamless travel logistics.
  • Arrange ground transportation, catering, hotel accommodations, and special requests in collaboration with executive assistants and flight crews.
  • Support flight operations through flight planning assistance, weather and NOTAM analysis, airport feasibility reviews, and coordination of fueling, permits, and slot requests.
  • Monitor flights through a flight following system and respond to after-hours, weekend, or holiday calls to update flight details or assist crews and passengers.
  • Ensure compliance with international travel requirements including passports, visas, customs, and health documentation.
  • Participate in the Safety Management System (SMS), emergency response planning (ERP), audits (e.g., IS-BAO), and annual familiarization flights.
  • Maintain strong relationships with International Service Providers (ISPs), fuel vendors, FBOs, caterers, government agencies, and other aviation partners to support operational excellence.
  • Perform hangar-based duties including passenger greeting and coordination, and assume tasks delegated by the Lead Dispatcher, Chief Pilot, or Senior Director of Aviation.

Qualifications

  • Minimum of 3 years’ experience in flight operations, scheduling, and dispatch—preferably in corporate or business aviation.
  • Strong understanding of aircraft scheduling principles, FAA regulations, airport operations, and trip planning resources including weather monitoring and international travel logistics.
  • Proven ability to manage multiple itineraries and adapt to last-minute changes with precision, professionalism, and attention to detail.
  • Proficiency in aviation scheduling and planning software, Microsoft Office Suite, and Windows-based systems.
  • Commitment to confidentiality when handling sensitive flight, crew, and passenger information.
  • Excellent communication and interpersonal skills, with a customer-service mindset and ability to collaborate effectively with senior leaders, executive assistants, aircrew, and external service providers.
  • Professional demeanor and logistical coordination skills to meet passenger needs while ensuring safety and regulatory compliance.
  • Flexibility to work in a dynamic 24/7 corporate aviation environment, including availability for after-hours, weekend, and holiday support, and occasional domestic/international travel.

Education

  • FAA Aircraft Dispatcher Certificate required within the first year of employment; preferred at time of hire.
  • College degree preferred; a bachelor’s degree in aviation, aerospace, business, or a related field is highly desired.
