Facility Coordinator

Role Description

The Facility Coordinator is responsible for ensuring the smooth operation and maintenance of the ZRL Louisville Lab site's physical infrastructure. This role supports day-to-day facilities management, vendor coordination, space planning and compliance with safety regulations. The Facility Coordinator works under the direction of the Facility Manager and is responsible for cultivating and high performing environment through collaboration and support and is responsible for maintaining a safe and professional work environment at all times. The Facility Coordinator works within the Building Management Systems (BMS) to manage the lighting, HVACR, water (domestic & deionized), electrical power and other infrastructure, and works daily within the ZRL Computerized Maintenance Management System (CMMS) to process and resolve work requests of various types and locations, performing the service/repair, and/or coordinating the maintenance and repairs with third party vendors in collaboration with stakeholders. This role is also responsible for hands-on maintenance of the DI water system, uninterruptible power supplies (UPS), bio-safety cabinets, hoods and grossing stations and other support infrastructure. Under the direction of the Facility Manager, the role acts as a liaison to building management, co-tenants, and other third-party contractors. The Facility Coordinator may also support special projects as assigned including lab expansion, moves, buildouts and retrogrades.

Responsibilities

  • Respond, process, and resolve internal facilities work requests via CMMS system supporting local and remote facilities. Manage work being done by local contractors & subcontractors.
  • Perform, track, and document basic preventive maintenance and repairs on support infrastructure systems including (but not limited to) UPS systems, DI water, BSC/hoods/grossing stations utilizing CMMS; maintains records of inspections and service contracts.
  • Respond to urgent repair and service issues and emergencies; supports emergency preparedness and response plans.
  • Monitor BMS and adjust to create safe, compliant, and comfortable work environment including lighting, exhaust, HVAC.
  • Maintain safety and appearance of work areas; oversees management of janitorial services.
  • Act as liaison for landlord and building management and co-tenants.
  • Participates in special projects as assigned.
  • Coordinate with and support Zoetis functions related to facilities, including Technical Operations, EHS, Purchasing & Inventory, Security, IT etc.
  • Attends and participates in team meetings.
  • Perform other related duties as required / assigned.

Education and Experience

  • Associates or bachelor's degree in Facilities Management or related field preferred.
  • 2+ years of experience in facilities coordination or similar.
  • Experience in a laboratory, medical, aerospace, or manufacturing environment preferred.
  • CRST preferred.
  • Experience and capability with safely working with a variety of hand and power tools.
  • Experience working with and basic knowledge of trades and managing their work including plumbing, HVACR and electrical.
  • Experience working virtually and with colleagues across different regions and time zones.

Technical Skills

  • Proficiency in use of Microsoft Suite applications (Outlook, Teams, Word, Excel, etc.).
  • Experience with or adeptness to web applications such as BMS, CMMS, inventory systems, and parcel services.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.

Physical Position Requirements

  • Physical mobility is required, as well as the ability to alternately sit and stand for several hours at a time.
