Role Summary

Executive Coordinator, Research and Early Development. Provides administrative support to senior staff in Research, including scheduling governance and other meetings, and supports Sr. Staff by coordinating logistics for meetings and travel.

Responsibilities

  • Calendar management – Scheduling meetings/rooms for meetings with multiple stakeholders across functions. Resolving calendar conflicts.
  • Coordinate logistics for Research Senior staff meetings including agenda preparation and distribution, communicating with presenters, and managing calendar invitations.
  • Schedule governance meetings with large audiences.
  • Coordinate logistics for Scientific Seminars for visiting scientists and Key Opinion Leaders – travel/hotel, agenda, roundtables, conference rooms, catering.
  • Coordinate domestic and international travel for Research Senior Staff.
  • Order lunches for meetings and larger catering events.
  • Coordinate, compile, and edit materials upon request.
  • Support logistics for department annual team-building events.
  • Prepare expense reports for Research Sr. Staff members.
  • Resolve IT issues and order equipment as requested.
  • Maintain distribution groups for Research and RED.
  • Provide backup and support for internal and external activities with Sr. Executive Coordinator and Head of Research and Early Development.
  • Compile new hire, promotions, and other departmental announcements.
  • Assist with onboarding and off-boarding, including space assignments and move requests.
  • Assist with miscellaneous administrative requests from team-members.
  • Be onsite daily to handle administrative questions, including printing, Concur questions, and daily catering requests.

Qualifications

  • Minimum of 3–5 years of executive level experience with VP, S/EVP, or C-level support and office administration.
  • Strong PC skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Microsoft Project, Concur expense reporting.
  • Bachelor’s degree preferred.
  • Local candidates are preferred.
  • Daily onsite office presence required.

  • Ability to respond to evolving priorities in a fast-paced environment.

Education

  • Bachelor’s degree preferred.
