How you will contribute
- Manage and maintain complex executive calendars and travel arrangements.
- Prepare, edit, and manage correspondence, presentations, reports, and other documents; conduct research and compile data to support leader decision-making.
- Track expenses, process invoices, and assist with purchase orders.
- Serve as a role model/mentor to administrative colleagues; ambassador for ONE Research and Takeda Leadership Behaviors.
- Organize and support leadership meetings, events, and workshops/offsites (agenda/content prep, note-taking using AI tools, logistics) with a focus on participant experience.
- Active member of the Research Admin Community of Practice (CoP); attend CoP meetings and support enterprise advancement by aligning with CoP processes.
- Act as a primary liaison between executives and internal/external stakeholders.
- In coordination with HR, coordinate promotion cycle logistics; support employee development program logistics (scheduling, materials, record-keeping).
- Identify opportunities to develop and standardize processes; share best practices and ideas for improvements.
- Manage new employee onboarding (workspace setup, orientation scheduling, admin support).
- Serve as a knowledge source for assigned function; stay current on policies and procedures.
- Provide administrative support for special projects.
Minimum Requirements/Qualifications
- High school diploma/GED required; associate or bachelorβs degree preferred.
- 8+ years relevant experience (preferably BioPharma).
- Clear written/verbal communication; strong organizational skills; confidentiality; adaptability; proactive problem-solving; attention to detail.
- Interpersonal skills, professionalism, collaboration (including global teams); initiative/self-driven.
Travel Requirements
- Minimal travel, primarily for meetings.
