Position Summary
Provides administrative support to VP/Global Program Leads for Neuropsychiatry and Neuroscience, performing diverse administrative and project-focused duties requiring tact, diplomacy, discretion, and judgment in a fast-paced environment.
Key Responsibilities
- Demonstrate strong interpersonal skills and diplomacy across all levels of management.
- Work with minimal supervision; show initiative, organization, and detailed follow-up.
- Manage calendars, email, and phone; schedule meetings to ensure timely, prioritized attendance.
- Support Neuroscience Global Program Leads with heavy calendar management; own Global Program Team (GPT) meetings, GPT distribution lists, and GPT SharePoint access.
- Coordinate internal/external meetings; arrange video/teleconferences.
- Make domestic/international travel arrangements; process expense reports; complete independent projects.
- Prioritize activities and take prompt action based on departmental objectives and business needs.
- Adhere to T&E (travel and expenses) policies to ensure compliance.
- Prepare managers for meetings (e.g., assemble agendas, assist with presentations).
- Stay current with BMS continuous learning modules.
- Proactively manage high-profile internal and external events.
- Build relationships with key stakeholders; provide backup support for other administrative assistants as needed.
Qualifications & Experience
- High school degree; some college or degree desirable.
- 10+ years administrative or comparable experience; prior BMS and Executive Associate experience preferred.
- Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint); knowledge of BMS systems/processes strongly preferred.
- Strongly desired: Concur Travel & T&E, Ariba/SAP, SharePoint, eSetup, Workday, Room Scheduler.
- Strong organizational skills, attention to detail, and follow-up.
- Positive attitude, high productivity, adaptable to change; able to learn new tools/systems.
- Ability to prioritize, work independently and collaboratively across time zones; multi-task and adapt quickly.
- Ability to work effectively under pressure to meet deadlines.
