Role Summary

Executive Assistant (EA) to the Executive Vice President, Head of U.S. Oncology provides high-level, strategic administrative support in a fast-paced, highly visible environment. This role requires exceptional organizational capability, sound judgment, discretion, and the ability to anticipate needs while managing complex priorities. The EA serves as a trusted partner to the EVP and enables leadership effectiveness across the U.S. Oncology organization by interacting with senior leaders, cross-functional partners, and external stakeholders.

Responsibilities

  • Manage a complex and dynamic calendar, prioritizing competing demands and ensuring alignment with strategic objectives
  • Coordinate domestic and international travel, including detailed itineraries and contingency planning
  • Prepare and organize briefing materials for internal and external meetings, Board interactions, and leadership forums
  • Draft and edit high-level correspondence, communications, and presentations
  • Track action items and ensure timely follow-up on key initiatives
  • Serve as a liaison between the EVP and senior leaders across the company
  • Support leadership team meetings, including agenda development, logistics, minutes, and follow-ups
  • Assist in coordinating Town Halls, leadership offsites, and strategic planning sessions
  • Partner closely with other Executive Assistants across the enterprise to ensure seamless executive alignment
  • Support budget tracking, expense reporting, and vendor coordination
  • Maintain confidential files and sensitive information with the highest level of discretion
  • Improve administrative processes and identify opportunities to enhance efficiency
  • Support onboarding of new leadership team members as needed

Qualifications

  • Required: Bachelor’s degree preferred or equivalent experience
  • Required: 7+ years of executive administrative experience supporting C-suite or senior-level executives
  • Required: Experience in the biopharmaceutical, healthcare, or highly regulated industry preferred
  • Required: Exceptional organizational, time management, and prioritization skills
  • Required: Demonstrated ability to manage highly confidential information
  • Required: Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel) and collaboration tools
  • Required: Strong written and verbal communication skills
