Main Responsibilities
- Executive Priority Orchestration: Own and continuously optimize a highly complex global calendar covering senior R&D leadership, digital/AI governance forums, and external partners/stakeholders; translate strategic priorities into calendar decisions; anticipate conflicts and shifting priorities; ensure meetings are purpose-driven, well-prepared, and outcome-oriented.
- Strategic Coordination & Operating Rhythm: Serve as a central coordination node across R&D leadership/governance, computational/data/digital platform leaders, and external collaborators; drive consistency in leadership operating cadence (LT meetings, strategic reviews, decision forums); track initiatives, decisions, and deliverables for alignment and follow-through.
- Executive Communications & Briefing: Draft/refine executive communications (email, presentations, talking points); develop concise briefing materials; prepare the Global Head for internal/external interactions; maintain a consistent executive voice.
- Stakeholder Management & Representation: Interface with senior executives and global external partners; act as a trusted representative with professionalism and discretion; handle sensitive interactions and prioritize stakeholder needs; build strong working relationships.
- Travel, Events & Global Logistics: Coordinate international travel/multi-stop itineraries across time zones; plan/execute meetings, workshops, and offsites; ensure seamless logistics.
- Operational Execution & Confidential Support: Manage expenses, documentation, and records; handle confidential/sensitive information with discretion; independently manage special projects.
- Continuous Improvement & AI-Enabled Ways of Working: Use digital tools to enhance productivity; streamline workflows; support adoption of new AI-enabled ways of working.

Qualifications
Basic:
- High school diploma or equivalent
- 7–10+ years executive support/administrative experience
- Demonstrated ability managing complex schedules and competing priorities at a senior level
- Exceptional organizational and communication skills
Preferred:
- Experience supporting C-level/EVP/global leadership
- Pharma/biotech/R&D experience
- Matrixed global environment experience
- Proficiency with Microsoft Office and collaboration tools
- Familiarity with digital transformation or AI-driven organizations

Working Conditions
- Office-based in Cambridge, MA with flexibility; occasional early/late hours due to global time zones.
