Role Summary

The Executive Assistant to SVP, U.S. Policy and Government Affairs provides administrative and office management support to the SVP, U.S. Policy and Government Affairs (USPGA) and BMS's Washington, DC office. The successful candidate will perform diverse and complex administrative tasks in a fast-paced, evolving environment, collaborating with internal stakeholders and senior leaders across Global Policy and Government Affairs, USPGA and other key business functions.

Responsibilities

  • Proactive and heavy calendar management, meeting scheduling, travel booking, and preparing/processing expense reports; support internal budget processes.
  • Office management duties including stocking and ordering supplies, developing coverage for reception, managing office space, conference room booking, desk space management, planning in-office meals, supporting event/meeting logistics, and data management procedures (OneDrive, Teams).
  • Provide onboarding assistance to new staff; coordinate with corporate functions (IT/AV, security, real estate, building management).
  • Support high-profile scheduling involving senior corporate leadership, USPGA leadership, and external partners (trade associations, Members of Congress, Administration, etc.).
  • Collaborate with other EAs across the company to support the SVP and organization; maintain a polished, professional demeanor in all interactions.

Qualifications

  • 8–10 years of administrative experience, primarily supporting a government affairs/policy executive; experience as a scheduler in a Hill or Agency office may be appropriate.
  • Bachelor's degree preferred.
  • Strong interpersonal skills with all levels of management (internal and external); excellent verbal and written communication.
  • Ability to handle sensitive information with confidentiality, discretion, and good judgment.
  • Proactive, reliable, and able to work with limited supervision; strong attention to detail.
  • Comfort with new tools and technologies (web-based and digital communications); proficient in Microsoft Office Suite (Outlook, Teams, SharePoint, Excel, Word, PowerPoint).

Skills

  • Anticipate needs of manager; take steps with minimal supervision to produce accurate, timely outcomes.
  • Adhere to travel and expense policies; reconcile expenses and ensure compliant reporting.
  • Prepare materials for meetings, assist with PowerPoint presentations, and coordinate preparatory meetings and pre-reads.
  • Willingness to assist others and balance multiple demands; escalate decision-making when appropriate.
  • Professional representation in engagements with external organizations; handle confidential information with discretion.
  • Adapt to change in a rapidly evolving environment; maintain a positive, collaborative work attitude.

Education

  • Bachelor's degree preferred.
