EXECUTIVE ASSISTANT TO EVP, CHIEF BUSINESS OFFICER

Summary

The Executive Assistant will report to EVP and be a key member of the Ionis executive team ensuring demanding schedules, conflicting priorities, and communications are managed effectively. The Executive Assistant will also support key functions within the management team including, Business Development and Alliance Management amongst a dozen team members. The role will also organize and streamline operations to ensure optimal effectiveness, working closely with an experienced and tight-knit team. This position will require on site presence, 5 days per week, located at our main HQ campus (2855 Gazelle Ct. Carlsbad, CA, 92010).

Responsibilities

  • Assist EVP with daily schedule and duties, including managing business calendar and commitments.
  • Manage travel arrangements for several individuals (ie. the business team; planning itineraries, developing agendas, meeting materials, and reporting expenses, etc.)
  • Schedule and coordinate complex meetings for members of the business team. This includes but is not limited to, attendee communications, venue management/coordination, audio/video set-up and management as needed, catering, accommodation, and material preparation.
  • Coordinate across the Executive Assistant team regularly to schedule high-priority meetings.
  • Coordinate high volume/high priority scheduling with external partners and Senior Leadership.
  • Manage projects and conduct research to support projects and/or provide background for executive decision-making.
  • Anticipate the executive’s needs and proactively bring together appropriate people and resources to support the executive in addressing issues.
  • Assist with finance support including MSAs, SOWs, invoicing, and budgeting.
  • Support recruiting efforts by coordinating interview schedules with potential candidates, distributing resumes and schedules to the interviewers; as necessary, coordinate travel arrangements for candidates.
  • Assist in creating publications, presentations, and materials as directed.
  • Prepare and submit legal document requests and purchase requisitions.
  • Maintain paper and online records and follow procedures for retention, protection, retrieval, transfer, and disposal.
  • Maintain office/department efficiency. Organize catering, office supplies, business cards, and a range of items relating to office management duties including escalation of departmental IT issues.
  • Maintain positive relationships with external administrative partners.
  • Receive and interact with visitors.
  • Provide backup to other EAs as needed and backup coverage of reception as needed.
  • Other duties and support as required.

Qualifications

  • Bachelors degree or other degree preferred.
  • Successful candidate will have 10+ years of experience supporting senior executives in an interrogative environment (exceptionally talented candidates, regardless of career length, may also be considered).
  • A tenacious yet flexible problem-solver with the ability to manage complex tasks and prioritize competing demands to meet deadlines.
  • Effectively manages up, as well as laterally and lower in the organization.
  • Critical thinker who operates independently while demonstrating good judgment, an ability to be resourceful and proactive.
  • Consistently delivers a high quantity of high-quality work.

  • Able to manage activities and schedules of multiple executives with little or no supervision and maintain strict confidentiality.
  • Well-versed in modern virtual meeting platforms/technology with extensive experience in setting up and executing on-demand teleconference and web-conference meetings.
  • Excellent organizational skills, strong verbal and written communication skills, attention to detail, and follow-through to ensure outstanding execution.
  • Strong relationship-building and interpersonal skills exhibiting patience, respect, and grace under pressure.
  • Share information openly with co-workers and cross-functional teams (transparent).
  • Displays a high degree of maturity, honesty, trust, and integrity.
  • Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Confident and competent in operating in both the virtual and office environment.
  • Technically savvy on various platforms.
  • Biotech experience preferred, yet not required.

The pay scale for this position is $29.15/ hour to $45.88/ hour.
