Responsibilities:
- Provide advanced calendar management, travel coordination, and logistics for the SVP of Global Patient Safety (GPS).
- Lead team event planning, cross-functional team building, and town halls.
- Order department supplies and assist with space planning and headcount tracking.
- Manage logistics for internal and external meetings, including collaborating with Strategic Sourcing and Procurement to manage/negotiation off-site meeting contracts.
- Manage meeting/event budgets within approval limits; gather agenda items and compile meeting materials/slide decks.
- Support departmental budget management where needed.
- Handle travel and expense reports for the SVP and additional department clients as necessary; assist guests with travel.
- Serve as a point person for continuous improvement efforts related to policies/procedures/resources.
- Maintain department contact lists/org charts; proactively update SharePoint and internal pages.
- Monitor purchase order requests; gather expense requests; submit requisitions and track departmental deadlines.
- Support onboarding/assimilation for new GPS employees with IT, Facilities, and Procurement; assist with space planning.
- Recommend catering for meetings/events during meal periods.
- Act as SME for junior administrative colleagues; create best practices and ensure coverage when admins are out of office.
- All other duties as assigned.

Qualifications:
- Associates or BA preferred; 8+ years administrative experience with 4+ years executive administrative experience desirable.
- Years of experience may be considered in lieu of degree.
- Strong collaboration; excellent written and verbal communication; ability to interact across all levels while maintaining confidentiality.
- Strong organizational skills and understanding of department/leader priorities.
- Highly independent with advanced judgment and problem-solving; comfortable leading projects; able to coordinate cross-functionally.
- Quick learner; can manage change/ambiguity and handle risk with composure.
- Comfortable working with senior managers; understands senior leader expectations.
- Advanced proficiency in MS Office, SharePoint, Concur, and teleconference systems (including advanced troubleshooting); may train new employees on internal systems.
