Role Summary
We are seeking a highly skilled and experienced Executive Assistant to provide consistent, high-level administrative support to the Business Development (BD) organization. Reporting to SVP & Head of Business Development, this role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and can balance multiple priorities with discretion and efficiency. The ideal candidate will demonstrate proficiency in Microsoft Office, strong project management capabilities, and outstanding communication skills, with the ability to manage complex schedules, navigate competing demands, maintain confidentiality, and support both individual and team objectives with a collaborative and solutions-oriented mindset. This position is hybrid and will be located in Cambridge, MA.
Responsibilities
- Manage complex and dynamic calendars for senior executives, including scheduling internal and external meetings, resolving conflicts, and partnering effectively with other administrative professionals.
- Coordinate domestic and international travel arrangements, including flights, lodging, transportation, and meeting logistics with internal and external stakeholders.
- Serve as a communication liaison, managing and prioritizing incoming emails and requests; organize conference calls, Zoom meetings, agendas, and presentation materials.
- Assist in team building and morale building exercises for the organization, ensuring the team is collaborating effectively.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Provide additional support as needed for broader BD department including travel, scheduling ad-hoc meetings and coordinating guests.
- Act as a collaborative member of the Executive Assistant team, participating in team meetings and initiatives, and supporting cross-coverage and shared responsibilities.
Qualifications
- Required: Minimum of 5 years related experience; college degree preferred.
- Preferred: Experience within the life sciences industry or in a business development function.
- Demonstrated excellence in verbal and written communication, with meticulous attention to detail, grammar, and accuracy.
- Advanced proficiency in Microsoft Office Suite, particularly Outlook, PowerPoint, Excel, and Word.
- Exceptional organizational and time-management skills.
- Proven ability to work independently and take initiative.
- Strong interpersonal skills with a collaborative, team-oriented mindset.
- High integrity and discretion as well as sound judgment in managing sensitive and confidential information.
