Role Summary

Executive Assistant - Enterprise Data & Technology role supporting C-suite and senior executive leadership with high-level administrative tasks, leveraging GenAI and other technologies to optimize operations. Based in Princeton, NJ with a hybrid work model requiring in-office presence three days per week.

Responsibilities

  • Manages the delivery of high-impact administrative support for executive leadership, handling complex priorities with agility and precision.
  • Maintains highly confidential business and personnel matters with discretion, serving as a liaison between executives and internal/external stakeholders.
  • Optimizes executive time by managing calendars, coordinating strategic meetings and conferences, and arranging travel aligned with business priorities.
  • Prepares executive-level materials from diverse sources, including Board presentations, strategic reports, and critical communications.
  • Supports calendars of events (investor and scientific conferences, high-priority meetings, company-wide initiatives) and collaborates with cross-functional teams on event logistics.
  • Manages logistics for on/off-site meetings and keeps all parties informed.
  • Handles sensitive communications across departments and external partners to reinforce executive presence.
  • Manages expense reconciliation and reporting through Concur and other systems, ensuring accuracy and compliance.
  • Provides backup coverage for administrative colleagues and front desk receptionists as needed.
  • Collaborates with internal departments to create/manage contracts, statements of work, purchase orders, and service agreements.
  • Drives cross-functional initiatives and project support, sharing best practices on GenAI and leading technologies to enhance organizational effectiveness.
  • Performs other duties as assigned.

Qualifications

  • High school diploma; degree preferred. Approximately 6 years of related administrative experience supporting senior executives, ideally in pharma/biotech. Pharmaceutical terminology knowledge strongly preferred. Equivalent education/experience considered.
  • Experience supporting executive-level presentations and communications.
  • Proficient with MS Office, including MS CoPilot or similar GenAI tools.
  • Experience with professional social platforms (e.g., LinkedIn) for departmental postings.
  • Ability to manage diverse tasks independently from start to finish.
  • Strong analytical skills and the ability to interpret complex instructions.
  • High professional ethics, integrity, and ability to maintain confidential information.
  • Ability to manage calendars and multiple projects in a fast-paced environment.
  • Strong interpersonal, tact, diplomacy, and judgment; excellent organizational skills with attention to detail.
  • Ability to work independently or collaboratively as a team; ability to work under pressure and follow complex instructions.
  • Strong relationship-building and emotional intelligence; clear communication.
  • Comfortable in uncertain situations and able to make informed decisions with limited information.
  • Willingness to travel occasionally.
