Role Summary
Executive Assistant to the CEO, CFO, and Chief Medical Officer at Evolus. The role requires an organized, senior-level professional with public-company experience who can thrive in a fast-paced, collaborative environment and multitask independently. Primary responsibilities include comprehensive administrative support, calendar management across multiple time zones, travel coordination, and maintaining confidentiality in handling sensitive corporate, financial, clinical, and personnel matters. Location: Newport Beach, CA (hybrid: remote Mondays and Fridays; in-office Tuesdays through Thursdays; additional in-office days may be required).
Responsibilities
- Provide comprehensive administrative support to the CEO, CFO, and Chief Medical Officer, including prioritization of daily activities and strategic alignment of schedules.
- Manage complex and frequently changing calendars across multiple time zones.
- Coordinate internal and external meetings, board engagements, investor meetings, regulatory discussions, clinical advisory sessions, and leadership meetings.
- Anticipate scheduling conflicts and proactively resolve issues to optimize executive time and productivity.
- Plan and coordinate executive meetings, including in-person, hybrid, and virtual sessions (Zoom, Teams, webinars, etc.).
- Serve as a liaison between executives and internal/external stakeholders, including board members, investors, healthcare professionals, regulatory bodies, and cross-functional teams.
- Arrange complex domestic and international travel for executives, including detailed itineraries, flights, accommodations, transportation, and related logistics.
- Coordinate travel related to board meetings, investor events, medical congresses, clinical site visits, conferences, and leadership offsites.
- Manage last-minute travel changes with efficiency and discretion.
- Prepare and process expense reports and ensure compliance with company policies.
- Track and manage invoices, vendor communications, and other administrative documentation as needed.
- Support coordination of company-wide meetings, town halls, medical education programs, and leadership offsites.
- Assist with special projects and strategic initiatives assigned by the executive team.
- Maintain strict confidentiality in handling sensitive corporate, financial, clinical, and personnel matters.
Qualifications
- 7+ years of experience supporting C-level executives, preferably supporting multiple executives simultaneously.
- Proven experience coordinating complex domestic and international executive travel.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Apple products and collaboration tools (Teams, Zoom).
- Exceptional organizational and time management skills with the ability to manage competing priorities.
- High level of professionalism, executive presence, and discretion.
- Strong written and verbal communication skills.
