Executive Assistant for DePuy Synthes.
Key Responsibilities
- Provide comprehensive administrative support to senior leaders (calendar management, meeting coordination, travel arrangements).
- Prepare/edit/manage presentations, reports, correspondence, and business documents.
- Coordinate internal/external meetings (logistics, agendas, follow-up actions).
- Serve as key point of contact for leaders; manage communications and prioritize requests.
- Support planning/execution of leadership meetings, events, and off-sites.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist with expense reporting, procurement requests, and other administrative processes.
- Identify opportunities to improve administrative processes and support operational efficiency.
Local Responsibilities
- Document handling: print, stamp/seal, mail/ship, distribute, and route wet-signature documents.
- Records management: store/archive/retrieve HR documents; fulfill requests; coordinate offsite storage; scan and name for Veeva.
- Compliance/admin: upload/submit filings; print and hand-deliver to agencies; support audits and onsite audit coordination.
Qualifications
- Education: Bachelorβs degree in Business Administration, Communications, or related field (preferred); equivalent education/experience considered.
- Required: 4β6 years administrative/executive support for senior leaders; manage complex calendars/schedules; strong organization/detail/follow-through; excellent written/verbal communication; Microsoft Office (Outlook, Word, Excel, PowerPoint); discretion and sound judgment.
- Preferred: support in global/matrixed organization; coordinate across time zones; support leadership events/town halls/off-sites; exposure to healthcare/medical device/regulators; proactive service mindset and problem-solving.
- Other: English proficiency required; travel up to 10%; administrative/executive assistant certifications preferred.
