Executive Assistant for DePuy Synthes

The Executive Assistant provides high-level administrative and operational support to the Chief People Officer at DePuy Synthes to enable effective day-to-day operations through managing complex schedules, communications, and coordination.

Key Responsibilities:
- Provide comprehensive administrative support to senior leaders (calendar management, meeting coordination, travel arrangements)
- Prepare, edit, and manage presentations, reports, correspondence, and other business documents
- Coordinate internal and external meetings (logistics, agendas, follow-up actions)
- Serve as a key point of contact for leaders, managing communications and prioritizing requests
- Support planning and execution of leadership meetings, events, and off-sites
- Handle confidential and sensitive information with discretion and professionalism
- Assist with expense reporting, procurement requests, and other administrative processes
- Identify opportunities to improve administrative processes and support operational efficiency
- Where required locally: document handling (wet signatures), records management (HR docs; Veeva scanning/naming), compliance/admin (upload/submit filings; agency hand-delivery; support audits)

Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or related field (preferred); equivalent education/experience considered
- Required experience/skills: Typically 4–6 years administrative/executive support to senior leaders; manage complex calendars/priorities; strong organization/detail/follow-through; excellent written/verbal communication; Microsoft Office (Outlook, Word, Excel, PowerPoint); discretion/judgment with confidential info
- Preferred: global/matrix experience; coordinate across time zones; support town halls/off-sites; exposure to healthcare/medical device/regulatory environments; proactive service mindset/problem-solving
- Other: English required; travel up to 10%; administrative/executive assistant certifications preferred
