Executive Assistant for DePuy Synthes (supporting the Chief People Officer).
Key Responsibilities:
- Provide comprehensive administrative support, including calendar management, meeting coordination, and travel arrangements.
- Prepare, edit, and manage presentations, reports, correspondence, and other business documents.
- Coordinate internal and external meetings (logistics, agendas, and follow-up actions).
- Serve as a key point of contact for leaders; manage communications and prioritize requests.
- Support planning and execution of leadership meetings, events, and off-sites.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist with expense reporting, procurement requests, and other administrative processes.
- Identify opportunities to improve administrative processes and support operational efficiency.
Where Required To Be Managed Locally:
- Document handling: print, stamp/seal, mail/ship, distribute, and route documents for wet signatures.
- Records management: store/archive/retrieve HR documents; fulfill requests; coordinate offsite storage; scan and name for Veeva.
- Compliance/admin: upload/submit filings; print and hand-deliver to agencies; support audits and onsite audit coordination.
Qualifications:
- Education: Bachelorβs degree in Business Administration, Communications, or related field preferred (or equivalent education/experience).
Required:
- Typically 4β6 years providing administrative or executive support to senior leaders.
- Ability to manage complex calendars/schedules and competing priorities.
- Strong organization, exceptional attention to detail, and follow-through.
- Excellent written and verbal communication.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Discretion and sound judgment with confidential information.
Preferred:
- Experience supporting executives in a global/matrixed organization; coordinating across time zones.
- Experience supporting leadership events/town halls/off-sites.
- Exposure to healthcare/medical device/regulated industries.
- Strong problem-solving and proactive, service-oriented mindset.
Other:
- English proficiency required; minimal travel up to 10%.
- Administrative/Executive Assistant certifications preferred.
