Executive Assistant (DePuy Synthes) β provides high-level administrative and operational support to the Chief People Officer.
Key Responsibilities
- Manage senior leadersβ calendars, meeting coordination, and travel arrangements.
- Prepare/edit presentations, reports, correspondence, and business documents.
- Coordinate internal/external meetings (logistics, agendas, follow-up).
- Serve as point of contact for leaders; manage communications and prioritize requests.
- Support planning/execution of leadership meetings, events, and off-sites.
- Handle confidential and sensitive information with discretion.
- Assist with expense reporting, procurement requests, and other administrative processes.
- Identify process improvements to enhance operational efficiency.
Where required to be managed locally
- Document handling: print, stamp/seal, mail/ship, distribute, route for wet signatures.
- Records management: store/archive/retrieve HR documents; fulfill requests; coordinate offsite storage; scan and name for Veeva.
- Compliance/admin: upload/submit filings; print and hand-deliver to agencies; support audits.
Qualifications
- Education: Bachelorβs degree in Business Administration, Communications, or related field (preferred); equivalent education/experience considered.
- Required: 4β6 years administrative/executive support to senior leaders; manage complex calendars/priorities; strong organization/detail; excellent written/verbal communication; Microsoft Office (Outlook, Word, Excel, PowerPoint); discretion/judgment.
- Preferred: global/matrix org experience; coordinating across time zones; leadership events/town halls/off-sites; exposure to healthcare/medical devices/regulations; proactive problem-solving.
- Other: English required; minimal travel up to 10%; administrative/executive assistant certifications preferred.
