Role Summary
The Commercial Executive Assistant is a trusted strategic partner to the Chief Commercial Officer and senior Commercial leadership team, playing a critical role in enabling executive effectiveness and driving organizational impact. This position goes far beyond traditional administrative support. It requires sound judgment, absolute discretion, and the ability to anticipate needs, manage complexity, and operate with confidence in a fast-paced, highly visible environment. Location: Princeton, NJ. This role follows Acadia's hybrid model requiring three days in the office on average.
Responsibilities
- Provide comprehensive administrative support to the CCO and senior Commercial leaders, managing complex and sensitive matters with discretion
- Maintain and optimize executive calendars
- Coordinate and prepare materials for high-level meetings
- Create and refine executive-level documents and communications
- Support planning and execution of on/off-site meetings and department events
- Serve as liaison between executive leadership and internal/external stakeholders
- Reinforce executive presence through refined communication
- Ensure timely information flow and communication management
- Coordinate domestic and international travel
- Manage logistics for conferences, leadership forums, and key events
- Manage expense reconciliation, purchase orders, and card processing
- Facilitate contract and vendor management processes
- Track contracting workflows
- Drive and support cross-functional projects
- Collaborate with administrative peers to enhance operational effectiveness
- Provide backup coverage as needed
Qualifications
- Minimum 6 years supporting senior executives; biotech/pharma preferred
- Strong judgment, organizational skills, analytical capability, and interpersonal communication
- Ability to manage confidential information and operate in a fast-paced environment
- Ability to travel occasionally
Skills
- Advanced Microsoft Office Suite skills
Education
- Bachelorβs degree preferred; equivalent combinations considered
