Responsibilities:
- Proactively manage the SVP’s extensive and complex calendar to ensure effective time management.
- Coordinate the SVP’s travel schedule; process visa applications; ensure travel vaccination guidelines are met.
- Produce necessary documentation and prepare materials in advance for key meetings.
- Organize, plan, and attend GPS Oncology leadership meetings; manage logistics (meeting rooms, technology, visitors, catering, etc.) per company policies; liaise with internal/external parties.
- Support GPS Oncology Comms leadership in setting up “Let’s Talk” sessions, broadcasts, and filming.
- Address issues for the SVP; in the SVP’s absence, use initiative and expertise to drive resolution.
- Process expenses, purchase orders, and invoicing within required timelines.
- Monitor internal/external correspondence and requests; ensure appropriate replies/delegation; track actions and determine when to escalate to the SVP.
- Liaise with the CEO office; build relationships with GPS executive assistants.
- Coordinate timely on/off-boarding of GPS Oncology LT members; take online-manager responsibility if needed; mentor to support systems and processes.
- Maintain an online working area with key documents to serve as an accessible data repository.
- Align with all policies, procedures, and legal/regulatory requirements.
Qualifications (Basic):
- Associate degree and 5+ years of executive administrative support experience.
- Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook).
Qualifications (Preferred):
- Experience supporting an SVP in a large/complex organization.
- Experience dealing with a Board and the CEO office.
- Discretion and professionalism with highly confidential/sensitive information.
- Proactive/autonomous; anticipates with limited direction.
- Strong organization, multitasking, and exceptional attention to detail.
- Ability to manage complex, fast-moving calendars across multiple time zones.
- Resilience under pressure; calm/professional during change.
- Strong interpersonal skills across cultures and stakeholder levels.
- Strong MS Office/technology skills.
- ERP proficiency (e.g., Concur, CERPS, Fiori, Workday) and ability to independently process/approve purchase orders and related workflows on behalf of the SVP.
