Executive Administrative Assistant (Hybrid) โ€“ Raritan, NJ or New Brunswick, NJ

Role Summary
- Provides high-level administrative, coordination, and operational support to SVP/VPs and their leadership ecosystem.

Key Responsibilities
- Act as a trusted thought partner; proactively manage administrative/operational demands and exercise independent judgment.
- Manage complex executive calendars across global time zones; act as a scheduling gatekeeper; own annual executive cadence.
- Coordinate senior-level meetings with end-to-end logistics (agendas, pre-reads, materials); track follow-ups/actions/decisions.
- Manage executive email/correspondence; draft communications; serve as primary SVP/VP point of contact.
- Coordinate internal/external communications and initiatives; oversee office operations (supplies, services, purchasing, vendors).
- Support special projects/offsites/visitor management/compliance tracking/committee coordination and contract/payment processes.
- Maintain filing systems; coordinate onboarding logistics; manage travel, lodging, transportation, and expense processing.
- Plan/execute meetings and events (A/V, space setup, catering); handle sensitive information with discretion.
- Liaise with internal teams, external partners, and vendors.

Required Qualifications
- Associateโ€™s degree (bachelorโ€™s preferred).
- 8+ years executive coordination/senior administrative support in complex, matrixed orgs supporting VP/SVP leaders.
- Experience leveraging AI tools.
- Proficiency: Concur Travel & Expense, Microsoft Suite/Excel/PowerPoint.
- Advanced calendar/meeting/event management; exceptional written/verbal communication.
- High judgment, discretion, emotional intelligence; independent operation; comfort with ambiguity.
