The Executive Administrative Assistant is an integral part of our Administration team based out of our US - Teaneck, NJ site.

Position Details

This role provides administrative and secretarial support for executive and/or departments. In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures. Specific responsibilities include but are not limited to:

Key Responsibilities

  • Drafting/development of correspondence (letters, memos, announcements, engagement letters, proposals, etc.)
  • Assemble and edit PowerPoint presentations and Excel spreadsheets, sometimes under short timeframes
  • Provide phone coverage as instructed by each executive
  • Monitor and update calendars using MS Outlook
  • Coordinate travel with travel agency; hotel reservations; directions; car service, etc.
  • Coordinate meeting arrangements with agenda, location, menus, travel accommodations and registration if required
  • Scheduling and coordinating presentations for Global Quarterly Town hall presentations
  • Maintaining and update corporate slide presentations
  • Complete expense reporting using online system
  • Engage and interact with international partners/employees as needed
  • Responsible for establishing and maintaining professional working relations and effective communication with executive management, team members, visitors, callers, and business professionals
  • Interface with appropriate individuals both domestically and internationally for scheduling, attendance and services associated with meetings
  • Complete project assignments in a manner that meets deadlines and specifications
  • Serve as a liaison between executives and other departments/functions as needed

Education & Experience

  • Associates Degree and/or Bachelors Degree desirable
  • Previous experience in pharmaceutical and/or life sciences business preferred
