Your Role

In this position, you will partner with and support the US-based Communications team across both project management and administrative work. You will play a critical role in ensuring that the team is operating to a high degree of efficiency and quality. Your organizational skills, knowledge of the business, and attention to detail will contribute to your success, the team’s success, and overall business value.

You will be working cross-functionally within the US and Global Communications team to build and execute across key topics including:

  • Finance/budget for the US team, in collaboration with Global team members
  • Content topics including content organization, reviews, and approvals
  • Platform management
  • Event support
  • Administrative support

This role will be 50% admin work and 50% project management with 5% travel.

Specific Areas Of Focus Include

  • Supporting and partnering on-site with three members of the Global Communications Leadership team: North America Communications, Head of HC Comms, Therapeutic Area Comms
  • Serving as a Communications ambassador on-site in the Seaport to support the culture, engagement, and energy of our US organization
  • Leading US finance processes in an efficient and organized manner: invoices, POs, budget tracking, vendor management; projections; tracking (in collaboration with Global)
  • Management of key review platforms: Upload and facilitate material reviews in VERITAS, Sprinklr, support on HC editorial calendar
  • Managing external agency access to key platforms, including XUID, Sprinklr, etc.
  • Newsletter tool support: drafting messages with provided content and maintaining distribution lists, distribution, proofreading, and content collation of newsletters
  • Initiate/manage all sponsorships and donations (new online process coming shortly)
  • NA Corp Comms mailbox management: managing meeting invites/calendar holds
  • Managing LCD screen updates across company site in US
  • Support for company intranet, such as posting articles
  • Researching deadlines/submission details for corporate awards
  • Event support and logistics on-site
  • IT/HR tickets
  • Support for onboarding of new employees (IT, office space etc.)
  • General Admin Duties including: Administrative support on-site, Calendar Management, Travel (when available), Expense Reports, Coordinate Team Events, Meeting/scheduling coordination.

Location

The position is based in our Boston, MA office working a minimum of 3 days on-site at our Boston, MA Seaport office location.

Who You Are

Minimum Qualifications:

  • HS Diploma or GED
  • 7+ years of experience in an administrative and/or project management support role

Preferred Qualifications:

  • Highly efficient and proficient in project management, attention to detail, managing deadlines
  • Experience in working within a matrix, and demonstrated experience managing multiple priorities
  • Proven intercultural and global experience
