Role Summary

The Brand Engagement Specialist position is responsible for the planning, organization and execution of company-branded events, in alignment with the organization’s business goals and strategy. The role contributes to strategic brand planning, messaging and overarching brand tactics, and collaborates with internal teams and external partners to deliver branded events. Location: Boca Raton, FL.

Responsibilities

  • Support Training with alignment on brand strategy and execution goals.
  • Collaborate with external partners to manage and deliver successful, branded and impactful messaging and events aligning with the organization’s business objectives.
  • Collaborate with the Head of Marketing and Associate Director of Marketing to ensure successful execution of strategy and associated resources.
  • Contribute to strategic brand planning, messaging and overarching brand tactics.
  • Responsible for working with agency partners and internal ADMA stakeholders on event planning, organization and execution; attending events where needed.
  • Planning to include events such as holiday gatherings, employee appreciation, departmental training events, conference/congresses and any other corporate affairs deemed necessary, tailoring the event to its intended audience.
  • Drive content strategy and engagement assets across social media in collaboration with internal staff and agency partners.
  • Manage the planning and execution of live and virtual medical conferences and sponsored product theaters/symposia.
  • Maintain event calendar; coordinate, schedule, arrange meetings, take meeting minutes, and work through event logistics.
  • Meeting arrangements may include reserving meeting space, hotel rooms, catering/refreshments, audio/visual equipment, etc.
  • Identify educational opportunities within the category and align initiatives with brand strategy.
  • Ensure collaboration, communication, strategic and logistical alignment across consultants, professional promotional agencies and medical education agencies of record.
  • Coordinate meetings with tradeshow services at key regional and national conferences.
  • Support national and regional thought leader engagement in collaboration with marketing activities at national and regional/local conferences.
  • Responsible for planning and execution of conventions/conferences.
  • Gathering post-event feedback, if necessary, to determine best use of resources and potential areas of improvement.
  • Ship or mail conference/event materials in a timely manner.
  • Responsible for day-to-day management of vendor and supplier relationships across traditional AOR relationships, medical education, consultants and freelance staffers to drive projects from conception to kick-off through completion.
  • Responsible for projects being delivered on time and on strategy.
  • Work closely with the SMEs from different departments during the project and present the progress of the project to the Management team.
  • Responsible for tracking inventory of promotional material and working with print companies to request quotes for new material or reprints of existing material and following up with vendor availability.
  • Initiate distribution of promotional material to trade shows or partners.
  • Attend trade shows with colleague(s) from sales, if/when required.
  • Request cost estimates for projects from external vendors.
  • Collaborate closely with the Legal Department to set up Statements of Work.
  • Initiate purchase requisitions in SAP, ensuring that appropriate documents have been routed and approved; inclusive of Capital Expenditure documents (CAPEX).
  • Assist as needed with external audits, e.g. FDA inspection.
  • Assist the Head of Marketing and Associate Director of Marketing with preparation of documentation for internal audits.

Qualifications

  • Required: Ability to work in high-pressure, deadline-driven environment.
  • Preferred: Highly proficient in Microsoft Office including Outlook, Teams, Word, Excel, and PowerPoint; General knowledge of market research methodologies; understanding of immunology, primary immunodeficiency and plasma-protein therapeutics.

Skills

  • Advanced knowledge of standard office software (Microsoft Office including Word, Excel, and Microsoft Project).

Education

  • Bachelor’s degree in marketing or related field.
