Role Summary

Associate Director, Meetings and Events responsible for leading strategic meetings management initiatives, overseeing end-to-end meeting and event lifecycle, ensuring policy adherence and operational excellence, and delivering training and process improvements across the organization.

Responsibilities

  • Lead strategic meetings management initiatives, including change initiatives, process improvements, and training programs.
  • Drive efficiency as it relates to the meeting management process.
  • Serve as the primary contact for new meeting registrations, assessing requests, consulting stakeholders, and addressing exceptions.
  • Build and foster cross-functional relationships to drive organizational change and ensure seamless meeting lifecycle management.
  • Oversee the end-to-end process for meetings and events, providing expert guidance and support.
  • Ensure all stakeholders are informed and compliant with policies (e.g., Sunshine Act requirements).
  • Collaborate with internal teams and external logistics agencies to ensure process alignment and success.
  • Collect and analyze feedback/data to identify opportunities for continuous process improvement.
  • Act as a subject matter expert on meeting policies, delivering training and onboarding to stakeholders and preferred suppliers.
  • Develop and execute communication strategies to promote policy adherence and program adoption.
  • Deliver metrics-based business reviews to stakeholders, supporting budgeting and forecasting decisions.
  • Manage projects of varying complexity as workload permits.
  • Management and oversight of external vendors.
  • Perform additional tasks and travel as required (up to 40%).

Qualifications

  • Bachelorβ€šΓ„Γ΄s Degree
  • CMP preferred
  • 10+ years of experience with 5+ within meetings management, preferably in the pharmaceutical industry.
  • In-depth knowledge of U.S. compliance requirements, including the Sunshine Act, with the ability to ensure adherence throughout the meeting lifecycle.
  • Strong strategic thinking skills to identify organizational connections and dependencies, ensuring a comprehensive and forward-looking approach to decision-making.
  • Exceptional communication skills, including the ability to clearly articulate complex ideas, present to stakeholders at all levels, and inspire confidence and buy-in.
  • Demonstrated leadership abilities with a proven track record of influencing cross-functional teams to achieve high-quality results within established timelines.
  • Advanced interpersonal skills for fostering collaboration, managing conflicts, and building strong, productive relationships across diverse teams.
  • Highly detail-oriented with excellent follow-up and organizational skills to manage multiple projects, vendors, and priorities effectively.
  • Creative problem-solving skills with the ability to assess challenges, propose innovative solutions, and implement improvements that drive operational efficiency.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word) and event management software such as CVENT, with the ability to create professional, data-driven reports and presentations.
  • Adaptability and a willingness to thrive in a fast-paced, evolving environment while maintaining a commitment to excellence and continuous improvement.
