Associate - Accounts Payable (Finance)
Responsibilities:
- Receive, review, and verify invoices for accuracy, completeness, and proper authorization (including subcontracting charges).
- Ensure POs, service entries, and GRNs are created/approved per Delegation of Authority (DoA).
- Monitor invoice aging, track open AP items, follow up on pending approvals, and clear aged balances.
- Execute payment runs and support payment scheduling per company calendar.
- Issue/deposit checks as applicable.
- Track on-time payment metrics and work with user departments and KPMG to maintain >90% on-time payment performance monthly.
- Review payment opportunities for early payment discounts or higher vendor recoveries.
- Manage vendor queries, payment follow-ups, and status updates.
- Maintain vendor master data; lead vendor onboarding and change requests.
- Resolve invoice discrepancies and PO/invoice/payment variances with Supply Chain, internal stakeholders, and KPMG.
- Monitor bank activity and ensure payments arenβt blocked due to debit filters.
- Manage daily banking forecasts and balances with Citi; ensure daily intercompany fund transfers.
- Manage intangible asset projects and milestone tracking; assist with Opex budgeting and monthly Latest Estimate (LE).
- Maintain cost center database; prepare/support annual 1099 reporting; maintain organized invoice/payment records.
- Support month-end/year-end close; ensure compliance with policies, accounting standards, SOX, and audit requirements.
- Provide documentation/support for internal/external audits; support continuous improvement in AP/payment processes.
Qualifications:
- Associateβs or Diploma in Accounting, Finance, or related field.
- 2+ years of accounts payable experience.
Skills/Attributes:
- Accounting software, SAP, and MS Excel.
- Strong attention to detail; good communication and problem-solving.
- Ability to manage multiple tasks and meet deadlines.
- Knowledge of three-way matching and invoice reconciliation.
- Understanding of tax regulations and vendor compliance requirements.
- Willing to work in person from the Princeton, NJ office.
