Assistant Director, Marketing Operations
Summary
The Assistant Director, Marketing Operations is a member of Ionis’ Commercial Operations group, reporting to the Associate Director of Marketing Operations. This role will play an integral part in supporting the commercial team and establishing key processes enabling Ionis’ commercial organization. The primary responsibility of this individual will be operational management of the promotional material review (PRC) process in accordance with FDA regulations, ICH guidelines, and PhRMA guidelines. Prior experience in PRC management and oversight for launch execution is highly desired. Additional responsibilities will include management of the print/production and fulfillment process, oversight of third-party vendors, and establishment and oversight of relevant policies and procedures to ensure compliance across all field and marketing operations activities.
The Assistant Director, Marketing Operations strategically partners with Marketing, Medical Affairs, Regulatory, Compliance, Informatics, Field Teams, external agencies, and additional functions (i.e., Patient Advocacy, Market Access, Corporate Affairs).
Responsibilities
Content Review Process
- Lead and direct the promotional materials review (PRC) process – including process documentation, socialization/training documents, forecasting and projection methodology, MLR technology design/configuration, etc.
- Collaborate with PRC reviewers and escalation committee members to provide guidance and direction, answer questions, and resolve issues related to the PRC process.
- Coordinate and/or oversee the coordinator of the PRC process to facilitate documents through review and approval ensuring alignment with Ionis processes and industry standards and effective material lifecycle management.
- Lead the annual and quarterly PRC volume forecasting process across all Commercial and supporting functions (i.e., Marketing, Learning & Development, Patient Services, Market Access).
- Create, maintain, and administer policies, procedures, user guides, and training for the PRC process and the electronic approval system (EAS).
- Serve as business owner and primary EAS administrator, to oversee system maintenance, enhancements, integrations, dashboard setup, user licenses, and resolve issues in partnership with Informatics.
- Establish, track, and report on relevant process performance metrics to continuously improve efficiency of the PRC process and implement corrective actions to address inefficiencies.
- Oversee vendor support and resource allocation during times of surge capacity.
- Serve as the operations lead to support the Head of Marketing Operations with implementation, integrations, and enhancements of processes and systems to ensure effective compliant operations.
Content Management/ Production & Fulfillment
- Lead and direct the print/production and fulfillment process – including fulfillment portal system implementation, process documentation, socialization/training documents, forecasting and projection methodology.
- Oversee design and configuration of fulfillment portal system, supporting implementation and ensuring ultimate system adoption.
- Serve as business owner and primary administrator of the fulfillment portal based on cross-functional requirements, including collaborating with Informatics and the portal vendor to configure, test, and update the portal as needed (including integration with other systems, i.e. Veeva PromoMats).
- Create, maintain, and administer business rules/policies, procedures, user guides, and training for material fulfillment and print requests.
- Liaise with cross-functional teams, especially Marketing, to identify and plan print/fulfillment needs to ensure timely execution and distribution for field team needs.
- Define, track, and report metrics related to content management to ensure ongoing process optimization, issue resolution, and material volume production and usage.
- Manage print/fulfillment vendor relationship.
Requirements
The individual who will be successful in this role will have existing experience with promotional material review processes and systems, including oversight and management of launch material review. The individual must also be highly organized, self-motivated, approachable, and an articulate team player who has the highest level of integrity and core value system consistent with our culture and core principles.
- Bachelor’s degree with 8+ years’ OR Master’s degree with 5+ years’ progressive operational experience in the biopharmaceutical industry.
- 3+ years direct experience in promotional or non-promotional material review processes and systems; preferably Veeva Vault PromoMats or MedComms.
- Strong understanding of legal and regulatory environment in pharmaceutical promotions, pharmaceutical industry guidelines, and other compliance-related issues.
- Experience collaborating with cross-functional internal teams to create and implement standardized SOPs.
- Experience communicating with organizational leadership to facilitate change management across an organization.
- Demonstrable project management skills: proven ability to manage multiple tasks to conclusion, within allotted timelines/deadlines, and without compromise to quality of work.
- Knowledge of project management tools and experience using collaboration tools such as SharePoint and Smartsheet.
- Proven organizational skills with experience managing multiple priorities.
- Strong attention to detail and ability to work independently.

The pay scale for this position is $109,000 - 164,000.
