Role Summary

The Administrative Partner to the Senior Vice President of Quality, Safety, and Environmental Operations provides high-level administrative and office support to a senior executive. The role requires autonomous, detail-oriented work on time-sensitive issues, with strong judgment, communication, collaboration, and organizational skills. The AP collaborates across Pfizer Global Supply and builds strong relationships with internal teams and external stakeholders. Location: Hybrid.

Responsibilities

  • Strategically manage complex calendar with anticipation of conflicts; resolve problems in advance based on the SVPโ€šร„รดs priorities.
  • Assemble pre-meeting materials, including pre-reads and other preparatory documents.
  • Schedule meetings with conference room bookings, Teams links, and logistics (audio/visual, catering, pre-reads).
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Organize domestic and international travel, including private aviation arrangements, hotel, ground transport, travel documents, visas, and presentations.
  • Prepare expense reports, track reimbursements, manage purchase orders through Ariba, and track invoices.
  • Maintain meticulous records and files for auditing purposes.
  • Order office supplies and IT equipment as requested.
  • Proactively arrange visitor passes and cross-site building access.
  • Collaborate with other Administrative Partners within QSEO and across the PGS Leadership Team.

Qualifications

  • Required: 7+ years of administrative partner experience with a minimum of 2 years at the senior executive level.
  • Required: Highly organized with proven ability to prioritize a complex calendar and manage multiple priorities with tight timelines.
  • Required: Proficiency in performing all office and administrative functions to a high standard and on time.
  • Required: Ability to interface with senior management, international colleagues, and external stakeholders; strong judgment with confidential information.
  • Required: Resourcefulness and initiative; demonstrated ability to anticipate needs and manage multiple priorities.
  • Preferred: Proficiency in Ariba, SharePoint, Concur, and Workday; familiarity with corporate compliance and T&E policies.
