Role Summary

Administrative Coordinator supporting the Associate Vice President, Client Facing Technology, Research & Development. You will provide administrative support within a collaborative organization focused on delivering digital solutions to support Amgen’s mission. This hybrid/flexible role is based in Thousand Oaks, CA, and involves coordinating calendars, travel, onboarding/offboarding, and cross-functional communication to enable senior leadership and department operations.

Responsibilities

  • Managing complex calendars and scheduling meetings across global time zones.
  • Coordinating domestic and international travel, including expense reporting via Concur.
  • Supporting Leadership Team meetings and Townhalls.
  • Supporting department operations, including onboarding and offboarding, technology setup, and workspace coordination.
  • Partnering with other administrative professionals and functional areas to ensure alignment and communication.
  • Providing backup support for other departmental administrators.
  • Collaborating on special projects and events as needed.
  • Assisting with budget tracking and vendor coordination.
  • Maintaining confidentiality and professionalism in all interactions.
  • Highly organized, solution-oriented, and a strong team player.

Qualifications

  • Required: Associate’s degree and 2 years of administrative experience
  • Required: 2 years in a technical school setting with hands-on experience
  • Required: High school diploma / GED and 4 years of administrative experience
  • Preferred: 4+ years of experience supporting senior leadership in a corporate or biotech environment.
  • Preferred: Expertise in the Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
  • Preferred: Proficiency in Concur, Workday, and Microsoft Teams.
  • Preferred: Excellent organizational, written, and verbal communication skills.
  • Preferred: Proven ability to manage multiple priorities in a fast-paced environment.
  • Preferred: Strong attention to detail and problem-solving skills.
  • Preferred: High level of discretion and integrity when handling confidential information.
