Role Summary

The Administrative Assistant for the US Bladder and Portfolio Franchise will provide day-to-day administrative support to the Franchise Lead and the broader Franchise team. They will report to the US Bladder and Portfolio SVP and handle heavy calendar management, meeting and event coordination, development of agendas and briefing materials, and travel/expense processing. They will work independently and proactively, coordinating with cross-functional partners, including external alliances, to help keep franchise operations running smoothly.

Responsibilities

  • Provide comprehensive administrative support to multiple leaders, managing complex global calendars, scheduling high-level meetings, and handling travel arrangements and expenses.
  • Oversee the management of incoming and outgoing mail, ensuring sensitive and confidential correspondence is handled appropriately.
  • Assist with scheduling meetings, reserving conference rooms, setting up teleconferences, and coordinating external visits and logistics.
  • Develop meeting agendas, slides, and ensure diligent note taking and action-plan follow-ups, ensuring efficient communication and task completion.
  • Assist with the planning and co-ordination of team events or special projects.
  • Deliver quality work promptly, using judgment to prioritize and resolve urgent issues swiftly.
  • Create and maintain distribution lists, organizational charts, and electronic files, supporting various projects and initiatives.
  • Take personal accountability for the quality of work, understanding the broader implications of actions on the department.
  • Thrive in a self-directed environment, assuming increased responsibility and accountability for decisions and outcomes, and providing backup assistance when needed.
  • Work independently under general supervision, completing recurring assignments, establishing relationships, and proactively sharing knowledge within the work group, with periodic reviews for soundness of judgment and adherence to guidelines.

Qualifications

  • Required: High School Diploma or GED with at least 6 years of experience as an executive administrative assistant or coordinator, or Associate’s Degree with at least 4 years of experience.
  • Required: Experience working at the executive administrative level; Pfizer experience preferred.
  • Required: Strong interpersonal skills.
  • Required: Problem solving ability.
  • Required: Demonstrated ability to proactively carry out administrative functions proficiently and complete quality work in a timely manner.
  • Required: Excellent attention to detail, time management, organization, and prioritization skills.
  • Required: Expert knowledge and proficiency with general office procedures such as telephone reception, customer service, and e-mail etiquette.
  • Required: Experience coordinating domestic and international travel.
  • Required: Strong verbal and written communication skills.
  • Required: Proficient in Microsoft Word, Excel, PowerPoint, Teams and Outlook, OneNote, and Copilot; in addition to Pfizer applications such as ePA3, Ariba, and SharePoint.
  • Preferred: Experience in ERP systems.
  • Preferred: Experience using applications such as Concur, WebEx, and Ariba.
  • Preferred: Proactive approach to identifying and addressing issues.
  • Preferred: Ability to maintain confidentiality and handle sensitive information with discretion.
  • Preferred: Experience using common AI tools, including generative technologies such as ChatGPT or Microsoft Copilot, to support problem solving and enhance productivity; demonstrated curiosity for exploring how these tools can improve outcomes and understanding of responsible AI practices, including risk management and ethical use.
