Role Summary

The Administrative Assistant, People Experience is responsible for providing administrative and organizational support to SVP, People Experience (PX) R&D, including but not limited to efficient calendar management, travel arrangements, preparation for and set-up of team meetings, preparation and distribution of presentations and other materials.

Responsibilities

  • Prioritize and manage key administrative duties in an efficient and timely manner, including expense reports, SOW submissions, meetings/calendar management, and travel arrangements.
  • Handles correspondence / documents of confidential nature and where appropriate respond to, create, compose and/or edit written materials and/or e-mail responses.
  • Proactively coordinates leadership and team meetings, prepares and edits meeting agendas, minutes & action items, reports and presentations using Microsoft Office software and other tools such as MS Teams.
  • Exercises sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met and leaders are properly prepared
  • Provides support managing calendars, scheduling high-level, time-sensitive meetings, managing travel arrangements, and completing expense reports
  • May serve as backup to Executive Assistant to EVP, Chief People Experience Officer
  • Completes quality work on a timely basis, using judgment to identify most urgent issues and working to resolve them.

Qualifications

  • 3+ yearsβ€šΓ„Γ΄ experience of providing administrative support to senior leaders.
  • Excellent communication and collaboration skills
  • Ability to execute initiatives in a timely manner with high quality
  • Demonstrated resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative
  • Ability to work well both in team environment as well as operate independently with minimal supervision Independent, proactive and anticipates needs
  • Ability and professional demeanor to interface with senior management and must be able to exhibit good judgment in handling confidential information
  • Excellent attention to detail and proofreading skills
  • Proficiency in MS Teams, Word, Excel, PowerPoint, and Outlook are essential
  • Adept at learning new technologies and tools
